Ministry Overview:

Hosanna Wong Ministries is steadfast in the mission of helping everyday people know Jesus for real. For thirteen years, this one mission been accomplished through an array of methods– including speaking engagements all over the world, authorship, spoken word poetry, resource development, mentorship and coaching, and unique partnerships with churches and organizations all over the world.

 

Position Overview:

The Executive Assistant to Hosanna Wong is a crucial role suited for a candidate proficient in managing tasks efficiently behind the scenes. The ideal candidate can quickly identify and delegate top priorities among various tasks to the right team members. Maintaining a high standard of execution, honoring confidentiality, and displaying integrity are essential as handling sensitive information is part of the daily tasks. Effective communication with key individuals, maintaining professionalism, removing roadblocks and alleviating the workload for the core leadership to ensure smooth operations are key aspects of this position.

 

Primary Responsibilities:

  • Serve as the primary point of contact for Hosanna and her ministry team, managing and organizing her and the team’s calendar meticulously.

  • Manage all speaking inquiries and bookings, ensuring prompt and professional communication with event organizers, and coordinating with Hosanna and the Hosanna Wong Ministries Board to align with her schedule and ministry objectives. (Note that Hosanna speaks at 45+ events a year, and works with ministries, churches and organizations from all over the world, across various denominations, cultures, and time zones. This takes a high-level of time management, multi-tasking, as well as a deep love for the Global church in its many forms.)

  • Coordinate all travel arrangements, liaise with the team on speaking event logistics, and provide Hosanna with detailed schedule/itinerary ensuring she has everything needed prior to the event.

  • Continuously develop and implement processes that enhance efficiency and clarity.

  • Ensure deadlines for book launches, album releases, and event preparations are met without a hitch.

  • Proactively engage in and build teams for new and special projects to alleviate the workload on Hosanna.

  • Participate in meetings, documenting detailed notes for future reference.

  • Manage general inbox and outbox with professionalism, ensuring timely responses.

  • Manage communication with the Hosanna Wong Ministries Board, and other ministry and non-profit partnerships.

  • Manage details associated with Hosanna’s various boards and creative communities.

  • Oversee various budget activities through tracking, reconciling, and processing payment requests, reimbursement claims, and reports.

 

Skills and Experience:

  • Proven experience in an executive assistant role or similar.

  • Strong organizational and multitasking abilities, coupled with the knack to make quick and informed decisions in a fast-paced, faith-driven environment.

  • Excellent communication skills, both written and verbal.

  • Proficiency in using digital tools for calendar management, email communication, and document creation.

  • Anticipate potential roadblocks and pivot before issues arise.

  • Innate ability to identify inefficiencies and devise systems, processes, and solutions to rectify them.

  • Handle confidential information with the utmost discretion and empathy.

  • Ability to work effectively in collaboration with diverse groups of people and communicate with people at all levels.

  • Availability beyond standard working hours when necessary.

 

What You Bring to the Team:

  • Stellar organizational skills with the ability to excel individually and collaborate within a team environment.

  • Experience in managing multiple projects simultaneously. (Note that Hosanna’s role as a traveling speaker, published author, recording artist, and ministry leader and coach often hold their own responsibilities, teams and calendars, and the ability to manage multiple projects will be essential.)

  • Excellent interpersonal relations, along with superior oral and written communication skills.

  • Proficiency in Mac Products, iCal, G-Suite, MailChimp, Squarespace, and willingness to quickly learn new tools as needed.

  • Dedication to accuracy in all tasks, a willingness to learn, and a positive, flexible attitude.

Location: Remote - Traveling 2-4 times a year

Hours: Part-time - 25-30 hours a week
